Welcome to our July newsletter, a month that promises to be sunny and warm! I hope you're not missing winter too much and that you've planned some delightful vacations with your loved ones. In this edition, we introduce several best practices to help you start your renewal period gradually, to avoid the last-minute rush when sending out your contracts and proposals.

To help you prepare for the 2024-25 year, here are some essential articles to streamline your renewal process.

Pre-season Articles: 

Contract renewals are completed in three main steps: 

1. Flip (migration/clone)  2023 to 2024 Contracts
As of last year, you have the ability to clone your contracts directly. This feature is now self-service, eliminating the need to contact support. Please follow these simple steps to complete the process.

• Update the configuration year under Management > Config to 2024.
  
  
• Clone your contracts in Management > Company by clicking "Clone contracts."

2. Price Adjustments
Once your contracts are cloned, you can adjust your prices. Here are some articles to assist with price adjustments:

• Set default rates for your services:  Price Chart
• Modify/adjust your prices: Price Modification   
  It's easiest to target one type of building (residential, commercial, multiplex, etc.) at a time and make your adjustments.
  
  
• Add promotions to your contracts : Promotions
   

3. Send your Contracts 
You can send your contracts via email or mail. If you create submissions through the Prospecting menu, you should export them for postal dispatch. Here are the steps to follow:

• Generate your contracts in PDF format via Reports > Generator for printing or postal dispatch: Generate PDF Contract. Here is the view for generating contracts without email (for postal dispatch). 
  
  
   
• Send your contracts/quotes by email: Broadcast
  It is essential to integrate the "contract" variable when drafting your email to direct the client to the correct link and proceed to accept the contract.
   
  
   
• Create a report on your renewals:  Report

UPDATES, IMPROVEMENTS & CHANGES

Menu & Tabs

• The 'Terms and Conditions' tab will be merged to the 'Download PDF' tab. Here you can download the terms and conditions linked to your contract. You can then select the appropriate location, status, and language for which it applies.
• A new 'Style' tab will soon be introduced to enhance the formatting of your contracts. You will be able to adjust the font type, color, and alignment of service headers, as well as the color and thickness of the line types under the service headers. 
  Note that this feature will not work with custom-made contracts.
  
• Broadcast Menu  - The use of SMS for mass messaging is no longer available. However, you can still use this feature to send emails.

Billing for Alert Consents

The alert consent feature allows clients to confirm receipt of SMS during snow removal operations, enhancing safety and bolstering your reputation. Starting June 5, 2024, each SMS sent or received will cost $0.05. This fee will be listed on your invoice under "Validation - SMS". You can suspend these charges during the off-season by disabling alerts from the Management > Company menu, where they are enabled by default. Disabling these helps defer costs during revenue-free periods. To ensure your clients continue to receive snow alerts next season, it is crucial to reactivate the alerts. Upon reactivation, charges will apply only to consenting clients. These fees are billed monthly, in line with standard practices for Snow Alerts.
